Manager, Business Development and Operations
Room to Grow Boston

Room to Grow Boston seeks a high performing candidate to fill the newly created role of Business Development & Operations Manager. This critical position will be responsible for maintaining inter-departmental alignment across geographic regions, as well as serving as a key link between departments and the Executive Director. We are looking for an ambitious candidate with a track record of tackling complex and essential projects with consistent enthusiasm. Duties encompass everything from executive-level work to improving efficiency of office management systems. The ideal candidate is a self-starter who takes initiative, is a facile collaborator, and makes good decisions on the spot.

The successful candidate will demonstrate initiative, attention to detail and professionalism, and anticipate the needs of the office as well as the Executive Director. A high degree of diplomacy, organization, and troubleshooting skills are essential. The candidate must be prepared to engage in executive-level projects and meetings and take appropriate follow-up action, utilizing exemplary judgement and decision-making skills. We are seeking a highly organized go-getter who keeps projects moving on time but is equally flexible and comfortable responding to change and creating structure when needed. Responsibilities
Executive Support & External Relations

  • Manage the Executive Director's calendar
  • Support executive-level strategic planning, including budget development and management
  • Prepare and coordinate board meetings and retreats and support board-level work with the Executive Director
  • Support Executive Director in preparation for leadership team meetings; serve as liaison to staff as appropriate
  • Support various governmental and organizational partnerships and relationship development across Greater Boston as the organization enacts its strategic growth plan
  • Take meetings on behalf of the Executive Director as appropriate
  • Help to develop thought leadership content in conjunction with the senior team

Human Resources

  • Organize hiring processes and coordinate all on-boarding of new employees
  • Perform an annual review and update of the HR manual, serve as the point of contact for outside legal counsel
  • Establish an office-wide operations manual in conjunction with all departments
  • Develop and organize professional development plans for all staff
  • Develop training programs for new staff and trainings related to organizational changes

Administrative and Office Management

  • Provide effective supervision, oversight and delegation to the Program Associate; work collaboratively to ensure effective and efficient systems for program administration
  • Maintain and encourage a healthy, vibrant office culture
  • Develop local and joint cross-regional process and procedure efficiencies
  • Develop norms of operation for day-to-day activities
  • Run team meetings and social functions
  • Review and restructure the shared document filing system (DropBox)
  • Manage high level relationships with vendors
  • Resolve any office-related issues in a timely fashion
  • Quickly answer employee questions as they arise

Cross-Departmental Responsibilities

  • Execute growth planning activities (partnerships, research, parent advisory council, etc.)
  • Support dissemination of research findings
  • Plan annual cross-regional retreats
  • Work on various department-specific special projects as needed

Qualifications

  • B.A. and at least 3-5 years relevant experience in office management, executive-level assistance, development/fundraising, and/or a related field
  • A passion for the mission, vision, and core values of Room to Grow
  • Strong Microsoft Office fluency; experience working with databases preferred
  • Excellent interpersonal, written, and verbal communication skills

Development Coordinator
Room to Grow New York

Room to Grow seeks a candidate to fill a newly expanded position which will be responsible for generating in-kind donations of baby goods (e.g. collection drives, corporate donations) and managing the many volunteers who keep our family center in top notch condition. The right candidate is vibrant, customer service-oriented, and a collaborative leader, who will develop new relationships and strengthen existing corporate and institutional partnerships across New York City. The Coordinator will also collaborate with the External Relations team on elements of marketing and communications, and will look to identify opportunities for expanded engagement and leverage the broad base of volunteers who already support the organization (e.g. major gift donors, corporate grants).

This is an exciting opportunity for a mid-level professional with a demonstrated commitment to civic engagement and communications to contribute to the continued success and growth of Room to Grow's in-kind and volunteer programs.

Responsibilities include, but are not limited to:

Partnership Management

  • Develop and manage in-kind corporate, nonprofit, and business partnerships, collaborating with respective colleagues across departments and sites, expanding partnerships to include:
    • Significant donation of new baby essentials
    • Ongoing collection drives and volunteer groups
    • Financial support (e.g. proceeds from sales, volunteer grants)
    • Cause marketing campaigns
    • Other organization-wide support
  • Facilitate the activities of Room to Grow Champions - a cross-regional group of dedicated supporters focused on securing in-kind donations
  • Participate and manage network membership relationships with nonprofit organizations to strategically meet our goals for inventory acquisitions, visibility, and support, both locally and regionally

In-Kind Inventory Acquisition

  • Create, maintain, and regularly review a data-informed in-kind inventory acquisition plan
  • Develop and maintain relationships with corporations, individuals, groups, and stakeholders to strategically meet the organization's need for inventory acquisition
  • Together with colleagues in Boston, create, plan, and execute strategic acquisition of baby essentials that are most needed through annual collection drives
  • Develop and manage strategic purchasing arrangements for items that are rarely donated
  • Research prospects and submit proposals for grant opportunities focused on on in-kind acquisition and distributions

Volunteer Program Management

  • Develop and maintain relationships with local groups such as schools, corporations, nonprofit partners, and community groups who host collection drives for baby goods and send regular volunteer groups
  • Ensure a high level of customer service during all stages of the volunteer experience
  • Collect and analyze volunteer data to maximize volunteer participation and breadth of opportunities
  • Work closely with the Development team on strategies to recruit volunteers, strengthen existing partnerships, and identify follow-up prospect opportunities emanating from group visits

Communications

  • Collaborate with respective colleagues across departments and across sites on comprehensive communications strategy and brand stewardship, designed to increase awareness and convey organization's mission, outcomes, and needs
  • Support creation and use of organization's marketing materials (e.g. developing content for email news blasts and social media posts)

Qualifications

  • B.A. and 3-5 years relevant experience in customer service/retail, volunteer engagement, development, and/or a related field
  • A passion for the mission, vision, and core values of Room to Grow
  • Demonstrated track record in independently managing external partnerships
  • Experience working with CRM databases (Salesforce preferred)
  • Marketing and design experience a plus
  • Excellent interpersonal, written, and verbal communication skills – articulate and persuasive, with the ability to craft resonant messaging and diligent follow up

Community Relations Associate
Room to Grow Boston

Room to Grow is seeking a Community Relations Associate who will report to the Director of Communications and Community Relations. The full-time position will contribute significantly to Room to Grow's ability to provide babies born in poverty with all the clothes, toys, books and gear needed during their first three years as well as be a key contributor to building awareness through social media.

Responsibilities
In-kind Collection Drives

  • Develop materials for themed drives (e.g. birthdays, showers).
  • Create turnkey materials and website content for targeted drives.
  • Outreach to engage drive organizers, track participation and follow up with thank you letters.
  • Provide tools and engage in regular communications with collection site partners.
  • Send acknowledgements to individual in-kind donors.

Social Media and Communication Analytics

  • Collaborate cross regionally and with Director of Communications and Community Relations to manage social media calendar.
  • Develop content for social media channels including Facebook, Twitter, LinkedIn, and Instagram.
  • Improve reach and develop relationships by responding to and engaging with influencers and potential partners.
  • Design/edit compelling visuals.
  • Analyze communications effectiveness using Google Analytics and social media insight tools. Make recommendations for adjustments and new campaigns.

Research, Analysis and Data Management

  • Analyze in-kind donor and volunteer information to provide input for strategic outreach.
  • Identify gaps and understand trends in in-kind donations by conducting analysis of inventory.
  • Conduct background research of media, potential corporate partners (volunteers and in-kind), and other potential in-kind partners for targeted outreach.
  • Maintain and segment contact lists for email communications.
  • Provide support for data entry and reporting of volunteers, in-kind donors, drive organizers, and corporate in-kind donors in Salesforce.
  • Update and maintain Adwords campaigns.
  • Collaborate with team to track and manage inventory going in and out of offsite storage.

Qualifications:

  • Bachelor's degree and 1-2 years relevant experience.
  • Proficient with MS Office, background with Salesforce or other databases preferred, graphic design experience using Adobe InDesign, Photoshop and/or Illustrator a plus.
  • Strong written and verbal communication skills.
  • Creative with an eagerness to learn.
  • Strong organization and analytic skills.
  • Ability to work both independently and cross-functionally within a small team. Comfortable with changing priorities and managing multiple projects simultaneously.

Development, Communications and Inventory Internships
Room to Grow Boston

Room to Grow seeks summer interns interested in nonprofit management, programmatic operations, development, and communications. We will provide interns with a meaningful experience and hands-on training. We are looking for hard workers with a positive attitude and good organizational skills who are excited about helping families in need. Data analysis, social media, and/or graphic design skills a plus. Our goal is to provide a varied and broad-based experience across all functions of the organization. 

Responsibilities and activities include:

Support the inventory and volunteer program by working with volunteers, processing in-kind donations, stocking inventory, and helping to keep our space looking like a children's boutique.

Provide Fundraising/Development support by researching funding opportunities and assisting with grants and donor management.

Assist with social media, graphic design and overall communications.

Provide database management support

Provide event planning support

Time Commitment:

Opportunities available during the summer (20 hours/week) and for the fall semester (8 – 12 hours/week).
